Please read these Terms & Conditions carefully before booking with Krakow Urban Tours. By making a booking through krakowurbantours.com, you confirm that you have read, understood, and agreed to these Terms & Conditions.
1. Contract
When you complete a booking with Krakow Urban Tours, a contract is formed between you and Krakow Urban Tours. The services to be provided are those listed in your booking confirmation email or voucher. Any variation to these Terms & Conditions is valid only if confirmed by us in writing.
2. Prices and Payment
2.1 Prices
All prices shown on our website are current at the time of publication and are listed per person unless otherwise stated.
Prices may change at any time before a booking is confirmed. Once your booking has been confirmed, the price you paid will not be increased. We do not refund the difference if a price is later reduced.
Any child rates, if offered, apply based on the child’s age on the date of the tour. We may ask for proof of age before the tour starts. If a traveller does not qualify for the child rate booked, the difference must be paid before participation.
The price includes only those services specifically listed on the relevant tour page.
Unless expressly stated, the price does not include personal expenses, additional food or drinks, gratuities, travel insurance, accommodation, transport to the meeting point, or any other services not listed as included.
2.2 Payment
Full payment is required at the time of booking unless otherwise stated during the booking process.
We accept payment methods made available through our booking system at the time of purchase.
3. Cancellations, No-Shows and Booking Changes
3.1 Cancellations by the Traveller
Cancellation terms may vary depending on the specific tour or service booked. The cancellation policy shown on the relevant tour page and during checkout forms part of your booking agreement.
Unless a different cancellation policy is clearly stated for a specific product, the following terms apply:
Cancellations made more than 24 hours before the scheduled start time are eligible for a full refund. Cancellations made within 24 hours of the tour, late arrivals, and no-shows are non-refundable.
Where possible, we will try to help you reschedule your booking, but this is subject to availability and any applicable price differences.
3.2 Cancellations by Krakow Urban Tours
We reserve the right to cancel a tour before departure if it cannot operate safely or reasonably due to circumstances beyond our control, including but not limited to severe weather, natural events, political disruption, strikes, safety concerns, or other force majeure events.
If we cancel your booking, you will be offered either a transfer to another available date or a refund. We are not responsible for costs outside the tour booking itself, such as flights, accommodation, insurance, or other third-party expenses.
3.3 Changes Requested by the Traveller
If you wish to change an existing booking, please contact us as soon as possible. We will do our best to help, but changes cannot be guaranteed. In some cases, the original booking may need to be cancelled and a new booking made at the current price. Cancellation charges may apply.
3.4 Changes to the Itinerary
We aim to operate tours as described on our website. However, we reserve the right to make reasonable changes to routes, stops, timings, inclusions, or other elements of the itinerary where necessary due to local conditions, safety concerns, venue closures, public events, transport issues, or other circumstances beyond our control.
4. Booking Confirmation
Once full payment has been received, we will send a confirmation email and/or booking voucher to the email address provided during booking.
The lead traveller is responsible for checking the booking details and informing us promptly of any errors.
5. Participation and Timeliness
5.1 Arrival and Start Time
Travellers must arrive at the stated meeting point or be ready for any agreed pick-up at the time shown in their booking confirmation.
If you arrive late, we may not be able to accommodate you. Late arrivals and no-shows are treated as missed departures and are generally non-refundable.
Unless otherwise stated, we recommend arriving at least 10 minutes before the scheduled start time.
5.2 Traveller Conduct
The lead traveller is responsible for the conduct of all members of their party.
We reserve the right to refuse participation or remove a traveller from a tour, without refund, if their behaviour is unsafe, disruptive, abusive, illegal, or negatively affects the experience of other guests, our staff, or local communities.
6. Accuracy of Information
You are responsible for providing accurate and complete information at the time of booking, including traveller names, contact details, and any other relevant information required for the service booked.
We are not responsible for problems arising from incorrect or incomplete information supplied by you.
7. Age, Fitness and Health
Travellers under the age of 18 must be accompanied by a parent, legal guardian, or another responsible adult authorised by their parent or legal guardian.
Some tours may have minimum age requirements or may not be suitable for very young children. Please check the relevant tour page before booking.
It is your responsibility to ensure that you and all members of your party are physically able to take part in the booked activity. Some tours involve walking, standing for extended periods, stairs, uneven surfaces, or food and drink consumption.
If you have any mobility concerns, health conditions, allergies, or dietary requirements, please contact us before booking so we can advise whether the tour is suitable.
8. Travel Insurance
We strongly recommend that all travellers arrange appropriate travel insurance covering cancellation, medical expenses, personal belongings, and personal liability.
Krakow Urban Tours is not responsible for losses, expenses, or claims arising from a traveller’s failure to obtain suitable insurance.
9. Passports, Visas and Travel Documents
Travellers visiting Poland from abroad are responsible for ensuring that they have valid passports, visas, and any other required travel documents.
We are not responsible for any losses or missed services resulting from a traveller’s failure to obtain the correct documentation.
10. Complaints
If you are unhappy with any part of your experience, please raise the issue with your guide or with us as soon as possible during the tour so that we have a fair opportunity to resolve it.
11. Photography and Marketing
From time to time, photographs or video may be taken during our tours for promotional and marketing purposes.
By taking part in a tour, you agree that images in which you appear may be used by Krakow Urban Tours in print, on our website, on social media, and in other marketing materials, unless you tell your guide at the start of the tour that you do not wish to be photographed.
12. Privacy
We collect and use personal data only as necessary to process bookings, operate tours, communicate with travellers, and comply with legal obligations.
Where you have given consent, we may also use your details for marketing purposes.

13. Liability
To the fullest extent permitted by law, Krakow Urban Tours is not liable for any injury, loss, damage, delay, inconvenience, or expense arising from events beyond our reasonable control, including but not limited to weather conditions, transport delays, acts of government, strikes, public disturbances, accidents, or the actions of third parties.
Nothing in these Terms & Conditions excludes or limits liability where such exclusion or limitation would be unlawful.
We are not responsible for any traveller who fails to follow local laws, regulations, instructions from guides, or safety requirements during the tour.
14. Website Information
We make reasonable efforts to ensure that the information on our website is accurate and up to date. However, we do not guarantee that all content will always be free from errors, omissions, or interruptions.
15. Severability
If any part of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.

17. Changes to These Terms
We reserve the right to update or amend these Terms & Conditions at any time. The version published on our website at the time of booking will apply to your booking.
18. Governing Law and Jurisdiction
These Terms & Conditions shall be governed by the laws of Poland. Any dispute arising in connection with these Terms & Conditions shall be subject to the jurisdiction of the competent courts of Poland.
